Registrations

Registration is not completed until you receive a valid registration confirmation with your delegate details and registration ID. This will be issued on the day the payment is received and validated. Depending on the form of payment, this can take between 1-7 working days.  No registrations will be accepted after the deadlines stated. Rates are valid for registrations fully completed by the relevant deadline, 23:59hrs CET+1. Due to the limited capacity of the conference, onsite registrations are not possible. You will not be admitted unless you have a valid registration confirmation.  Delegates may not transfer their registrations from themselves to another delegate without the prior written consent of the organiser.  The seller and the venue have the right to refuse registration or entry. The right is reserved to charge a fee for the replacement of these confirmations onsite.    

Cancellation by Delegate   

Cancellations are possible until 22 working days before the conference start by contacting the Gender Summit Organisers in writing, quoting your name and registration number. Please send the request to gendersummit@davinci-institute.eu. For cancellations received in writing to this address by 17 October 2016 (23:59hrs CET+1) a handling fee of EUR 35 applies. For cancellations received after 17 October 2016 (23:59hrs CET+1), no refund can be offered. Registrations are linked to the profile of the attendees, a transfer of acceptances or registrations from one participant to another is therefore only possible after a written consent from the organiser. A handling fee may apply.  

Liability

You are attending the conference at your own risk. The organiser is not responsible for any damage caused by the delegates to a third party or to themselves, nor to the loss, theft or destruction of their property when on the premises. The delegate shall not make any claim or demand or take any legal action, whatsoever against the organiser, the partners or the venue for any loss, damage or injury whatsoever caused, to the delegate or their property. Each delegate must subscribe an individual insurance policy against these risks.   Unless specifically agreed otherwise, the organiser will not accept any responsibilities, invoices or charges relating to delegates travel and accommodation. While we take every effort to ensure that information on the website is accurate and up to date, the organisers do not accept any responsibility for damages caused due to outdated or inaccurate information.  

Promotions 

Once a registration is completed, no other existing or future promotional offers can be used in conjunction with the original booking.   Postponement & Cancellation In case of events beyond the organiser's reasonable control that make the running of the conference in its current form impossible, the organiser reserves the right to shorten or cancel the conference.  If by rearrangement or postponement, or by substitution of another conference venue, the conference can take place, the contract between the organiser and the delegate shall remain in force. In case of a full cancellation, the registration fee minus a handling fee imposed by the payment provider will be refunded.   Indemnity The delegate agrees to indemnify and hold harmless the organiser, conference partners and venue, their respective officers, agents and employees against all claims, costs and charges of every kind resulting from their participation, concerning personal injuries, death, property damages or any other damage sustained by the delegate, officers, agents, or those for whom they are responsible.   

Value-Added Tax

The Gender Summits are research-focused, not-for-profit events subject to the laws and tax regimes of the summit country. In line with the Belgian tax and VAT code, 21% VAT are levied on the registration fees. VAT-invoices are provided so you can reclaim VAT if your organisation is VAT registered.
